How projects keep files, decisions and teamwork together

A durable project connects its current status, authorised people, source files, conversations and deliverables without making every attachment shared by default.

Short answer

ValueSpace can organise bounded business work as a durable project with a concise current dossier, related conversations, source files, deliverables, open questions and a next action. The project owner controls access, conversation attachments remain private until they are deliberately promoted, and authorised colleagues can continue the same work without gaining access to the owner's unrelated files or chats.

Use a project for a bounded outcome, not for every conversation

A project is useful when work must survive beyond one conversation and has a defined outcome, source material, status and next action. A standalone discussion or temporary attachment does not automatically become a project record.

  • Create a project for a durable piece of work with a clear purpose.
  • Keep casual questions and temporary exchanges in their conversation scope.
  • Bind a conversation to one project only when that project context is required.

Keep one compact dossier as the current project index

The dossier points people and the assistant to the current state without trying to replace detailed invoices, correspondence, calculations or reports.

  • Purpose, status, due date, assignment and next action where relevant.
  • Important sourced facts, open questions and conflicting information.
  • Related conversations and a file index for evidence and deliverables.
  • Detailed records remain in their linked files or authoritative connected systems.

Promote a conversation file deliberately when it becomes project evidence

An incoming file is archived in the current user's conversation scope. It becomes a durable project record only after an explicit promotion or copy into an authorised project.

Process diagram: From a private conversation attachment to a shared project result The owner decides whether a temporary attachment should become project knowledge before colleagues or connected work can reuse it.

Share the project without sharing the owner's whole workspace

The creator becomes the project owner and can grant or revoke access for active members of the same business. The same access decision governs project discovery, files, conversation binding and project work.

  • Projects without a valid ownership record fail closed.
  • Sharing a project does not reveal the owner's other conversations or private files.
  • Private access records cannot be changed through ordinary workspace file editing.
  • Time-limited delivery links are renewed only after authorisation is checked again.

Let different capabilities collaborate through authorised artifacts

Research, calculations, documents and approved communications can build on one another through the same project workspace. Derived work keeps enough metadata to identify its purpose, source material and relationship to the final outcome.

  • Original evidence is normally preserved rather than overwritten by a later result.
  • Temporary working files remain distinct from durable evidence and customer deliverables.
  • Final deliverables are persisted before ValueSpace reports the work as complete.
  • External delivery can still require a separate approval.

Business work, clearly controlled

Project files
  1. Business owner

Add the signed-off product brief from this conversation to the spring launch project.

  2. ValueSpace

I can promote that attachment into the project as an approved source. Project members will see the promoted copy, not your other conversation files.

  3. Business owner

Promote it and prepare the launch checklist from it.

  4. Source promoted to projectAccess follows project membership
  5. ValueSpace

The checklist is saved with a reference to the approved brief. External sharing has not been requested.

    Project source

    Promoted from the owner's conversation.

    Project deliverable

Generated in the project and ready for review.

Conversation scenario: A project keeps source files, working results and the final deliverable connected The example promotes one conversation attachment into the authorised project, creates a derived result and keeps external delivery separate.

How this works in ValueSpace

ValueSpace uses the authorised project workspace as the durable boundary for substantial work and team collaboration.

  • Each project has a concise dossier with current status, sourced facts, open questions, files and next action.
  • A conversation attachment remains private until it is explicitly promoted into an authorised project.
  • The project owner can grant or revoke access for active members of the same tenant.
  • Authorised colleagues can continue the same project without receiving access to unrelated private material.
  • Generated deliverables are persisted before completion is reported.
  • Artifacts retain purpose and source relationships so they can support verification and later work.

Frequently asked questions

No. Projects are for bounded work with a durable outcome. A normal conversation can remain independent unless its work needs a project dossier, shared files, access control or long-running state.

Set up a project around one accountable outcome

A useful project has a clear purpose, a small current dossier and deliberate access to its files and conversations.

  • Name the business outcome and current owner.
  • Record the current status, open questions and next action.
  • Promote only the files that should become shared project assets.
  • Grant collaborator access explicitly and remove it when it is no longer needed.
